Reminders are integrated throughout the QuickEasy Management Information System and include the functionality to serve as basic Appointment and Task reminders through to recording more complex Disciplinary Procedures and Quality Incidents.
The Reminder 'Type' determines whether the Reminder body consists of only one text field, or multiple, user-defined fields, for example to capture information in a PROBLEM > CAUSE > HOW RESOLVED format.
The functionality also includes the ability to assign or link a Reminder to multiple Staff, Customers, Contacts, Assets, Quotations, Sales Orders, Work Orders and Purchase Orders.
Similar to other QuickEasy modules, Reminders can be output to E-mail, PDF and Printers using customised templates. This is useful for keeping customers informed about incidents relating to them as well as when signatures are required, for example to ratify the acceptance of a Written Warning.
When your list of Due Reminders pops up, you're able to 'Snooze' or 'Dismiss' them in the usual, familiar fashion.
Following are some screenshots and examples of how Reminders can be utilised. Click the thumbnails below to enlarge:
- Tasks: The Calendar has a Task Pad which provides the functionality for creating basic, unlinked Reminders.
- Customer Relationship Management (CRM): Remarks can be linked to Customers to record details of cold calls, telephone conversations and visits which creates a detailed, chronological contact history, especially useful for new sales representatives. Reminders can also be set to ensure that ongoing contact is perpetuated even when Customers stop calling for quotations.
- Sales: Follow-up reminders can be set to ensure that all Quotations are actively pursued until they are finally accepted or rejected.
- Quotation History: A 'Quote History' Reminder is automatically created every time a Quote is copied. This records the Date, Qty and Price of previous Quotes and Orders on the same job.
- Sales/Work Orders: Reminders linked to Sales Orders and Work Orders are mostly used to prompt users to follow up on pending jobs.
- Age Analysis: Reminders are integrated into the Age Analysis module to prompt users to follow up on due and overdue Accounts, also creating a useful accounts contact history over time.
- Scheduled Maintenance: Reminders can link to items listed in the Asset Register to prompt users when scheduled maintenance is due.
- Disciplinary Management: Reminders allow you to create a Disciplinary Management system in QuickEasy to record all the Verbal and Written Warnings issued by your company as well as to record minutes of Disciplinary Hearings.
- Quality Management: Quality Incidents need to be recorded and managed to ensure that problem areas are remediated and mistakes are not repeated. In QuickEasy you are able to capture Quality incidents in a 'PROBLEM, CAUSE, HOW RESOLVED' format. In addition you are able to link all the staff involved in the incident as well as the re-print/re-manufacture Work Order to manage the cost of quality control failures.
